Job Description/Overview

 

itrust consulting, a leading information security firm in Luxembourg, is seeking an Administrative Assistant to ensure effective communication, support the Managing Director, and manage administrative tasks. The successful candidate will contribute to the smooth functioning of the organization by handling diverse responsibilities in administration, public relations, and support for the management team.

 

Key Responsibilities

 

Manage the CEO’s calendar, contact lists, and reception of visitors.

 

Support onboarding activities, absence overviews, and planning for the management team.

 

Perform administrative tasks such as drafting minutes, procurement, and assisting HR and sales.

 

Support CISOs in managing and improving information security documentation for itrust consulting and its clients.

 

Handle public relations activities, website administration, and preparing news or press releases.

 

Consolidate timesheets, manage invoicing, and oversee stock management.

 

Qualifications

 

BTS degree in secretarial studies, a technical BAC plus two years in a similar position, or equivalent EU-recognized education.

 

Proficiency in Word, Excel, and Outlook (WordPress knowledge is an advantage).

 

Fluency in written and verbal French and English (Luxembourgish and/or German are advantageous).

 

Strong ability to work independently, efficiently, and contribute new ideas to the team.

 

Experience

 

At least 2 years in a similar administrative or PMO role.

 

Skills

 

Excellent organizational and communication skills.

 

Ability to manage multiple tasks and meet deadlines.

 

Attention to detail and a proactive approach to problem-solving.
