Job Description/Overview:
The Office Administrative Assistant will handle administrative tasks such as recording minutes, scheduling appointments, managing contracts, and overseeing daily office operations. This role requires managing filing systems and overseeing reports while supervising a small team.
Key Responsibilities:
Record and prepare minutes of meetings, seminars, and conferences
Determine and establish office procedures and routines
Schedule and confirm appointments
Manage contracts
Answer telephone and relay messages
Answer electronic enquiries
Oversee preparation of reports
Order office supplies and maintain inventory
Set up and maintain manual and computerised information filing systems
Plan, organise, direct, control, and evaluate daily operations
Supervise 3-4 people
Qualifications:
College, CEGEP, or non-university certificate/diploma (1-2 years)
Experience:
1 year to less than 2 years
Skills:
MS Excel, MS Outlook, MS PowerPoint, MS Windows, MS Word, MS Access, MS Office
Ability to multitask
Excellent oral and written communication
Flexibility, judgement, organised, team player
Accurate, client focus, reliability
