Job Description/Overview:
Inland Rail is a once-in-a-generation project that will complete the backbone of Australia’s freight rail network. It will enhance supply chains by providing a transit time of 24 hours or less for freight trains between Melbourne and Brisbane. Inland Rail will connect regional Victoria, New South Wales, and Queensland to markets more efficiently, drive substantial cost savings for producers and consumers, and deliver significant economic benefits. Inland Rail is the largest freight rail infrastructure project in Australia and one of the most significant infrastructure projects in the world.
Key Responsibilities:
Maintain a high level of presentation of the office and meeting rooms to ensure a professional appearance.
Accommodate visitors in the meeting rooms/reception and notify their guests accordingly.
Respond to incoming telephone calls, directing each to the appropriate Inland Rail representative.
Manage and oversee the mail and courier systems, including receiving, sorting, collating, and registering outgoing correspondence daily, arranging for courier pick-ups, and ensuring the smooth operation of all related processes.
Organise external catering for in-house meetings as required.
Provide general administrative support to the CEO’s EA and the Sydney administrative team, including managing and prioritising tasks effectively.
Work collaboratively with Sydney office administrative and Facilities team members to ensure the timely completion of shared tasks and effective handling of administrative functions.
Manage the onboarding and offboarding processes for team members, including handling paperwork, organising IT equipment, arranging training required, and supporting them through their first weeks as a new starter.
Complete reconciliations for corporate credit cards using FlexiPurchase, ensuring compliance with financial procedures.
Qualifications:
Proficient knowledge and experience with Microsoft Office 365 applications, including SharePoint.
Experience in providing high-level customer service to internal and external customers.
Ability to prioritise and manage multiple tasks simultaneously.
Proficient written and verbal communication skills.
Ability to learn new IT systems and processes.
Ability to use judgement and discretion in the dissemination of information.
Proven experience in a previous administration role.
Ability to work independently with limited supervision.
Ability to work effectively with stakeholders of varying levels of seniority, location, and team.
Experience:
Previous experience in an administration role is preferred.
Skills:
Effective communication and organisational skills.
Attention to detail, problem-solving abilities, and time management.
