Position Overview:


We are seeking a detail-oriented and highly organized Administrative Assistant to provide confidential secretarial services to the Divisional Director of Emergency Disaster Services and the Emergency Disaster Services (EDS) team within the Atlantic Division. This role will involve managing various administrative tasks, organizing events, preparing documents, and maintaining communication channels.

Key Responsibilities:

  • Assist in organizing Emergency Disaster Services events.
  • Create and format documents including form letters, charts, tables, certificates, brochures, briefs, and PowerPoint presentations.
  • Secure and organize information for Boards and meetings, keeping relevant folders up to date.
  • Prepare and distribute agendas and minutes for meetings.
  • Compile information for reports and ensure deadlines are met; send reminders if necessary.
  • Type various forms and maintain the Calendar of Events for the Divisional EDS.
  • Arrange meetings and coordinate accommodation for the EDS Divisional Team.
  • Complete Business World transactions for the Divisional EDS Team.
  • Maintain and update EDS social media accounts.
  • Assist employees and volunteers with administrative duties during disasters.
  • Perform other duties as assigned.

 

Qualifications and Education Requirements:

  • Post-secondary education in office and clerical fields.
  • Prior clerical/office administration experience; experience in an executive office setting is an asset.
  • Proficient in Microsoft Office products including Word, Excel, Publisher, and PowerPoint.
  • Understanding of social media platforms and experience in maintaining social media accounts.

Additional Requirements:

  • Obtain a Criminal Police/Vulnerable Sector Check and clearance through The Salvation Army Internal Abuse Registry.
  • Willingness to sign the Salvation Army Code of Conduct Receipt & Acknowledgement Form.
