Job Description
Join Alpha Lambda Delta (ALD), a prestigious national honor society founded in 1924, dedicated to acknowledging academic excellence among freshmen college students. We are currently seeking a detail-oriented Administrative Assistant to support our administrative team in maintaining efficient office operations.
The Administrative Assistant works collaboratively with all staff to support the mission of Alpha Lambda Delta and represent its values when interacting with members and the community. This position is a key link in supporting the efficient and smooth day-to-day operations of the organization.
Reporting directly to the Executive Director, the Administrative Assistant is responsible for providing overall administrative and operational assistance, the Executive Director, Director of Operations, and Director of Communications and Chapter Engagement. The successful candidate is flexible, detail-oriented, highly organized, and can work independently within a small and dynamic team with minimal supervision while demonstrating superb judgment and integrity. This is a 100% remote position.
Key Responsibilities
– Provide excellent customer service by answering phone and email inquiries
– Collaborate with other staff on various projects/tasks as needed and requested
– Input and maintain high-quality, accurate data in all systems
– Assist with Accounts Receivable and Accounts Payable tasks as needed
– Prepare monthly credit card reconciliation and expense reimbursement tracking
– Assist with the coordination and execution of digital/in-person event logistics
– Assist with the organizing and archiving of files and documents
– Special projects and other tasks as assigned
Qualifications Needed
– A bachelor’s degree and two or more years of experience, which may be substituted by an equivalent combination of certification, training, education, and/or experience
– Office administration skills, including general clerical (e.g., intermediate computer knowledge, email etiquette, email organization, filing, typing, copying, telephone etiquette and office operations)
– Intermediate to Advanced level in MS Office and Google Platforms
– Knowledge of, or ability to learn a variety of software programs
– Ability to focus on a detailed, potentially tedious, task while ensuring quality and accuracy
– Excellent interpersonal skills; service oriented
– Ability to handle multiple tasks, projects, and priorities effectively and professionally
– Ability to work collaboratively and problem-solve
– Demonstrated capacity to deal with confidential and sensitive data and exercise good judgment in handling information of this type
Preferred Qualifications
– Experience in higher education or nonprofit organizations
– Experience with CANVA (or other graphic design software)
– Demonstrated commitment to diversity, equity, inclusion, and belonging
– Demonstrated sensitivity to higher education concerns, issues, and operations
– Ability to prioritize assignments and meet deadlines
– Demonstrated ability to supervise administrative functions in an independent and effective manner
Experience:
Two or more years, or an equivalent combination of certification, training, education, and/or experience
Skills:
– Office administration
– Intermediate to Advanced MS Office and Google Platforms
– Excellent interpersonal skills
– Ability to handle multiple tasks and priorities
– Ability to work independently and with minimal supervision
Salary/Compensation:
– $42,000 per year
– Benefits include 7.5% employer contribution to a retirement plan, 100% of the employee’s premium for medical, dental, and vision insurance plus full funding of individual HSA. Salary can be adjusted if insurance is declined due to spousal coverage.
– Generous vacation and sick leave: 10 holidays, 3 personal days, 15 vacation days, and 12 sick days per year.
– This is a remote position. Candidates must be based in and legally authorized to work in the United States. Preference for candidates located within the Eastern Standard Time zone.
– Candidates must have appropriate private space in the home, with sufficient internet to support online work. Computer and other office equipment will be provided.
– The position is approximately 30 hours per week between 8:30am-4:30pm EST; schedule is flexible between those hours. Occasional nights and weekends for special events (comp time available).
– Exempt (not eligible for overtime)
– A background check may be required for employment.
– Hiring and compensation for this position will adhere to federal, state, and local laws.
