M Health Fairview is dedicated to providing exceptional healthcare services. We are seeking a Complex Scheduler to join our team at the M Health Fairview Heart Care Clinic. This role involves scheduling and coordinating multiple services for patients, ensuring all appointments, procedures, labs, imaging, and treatments are appropriately managed.
Position Overview:
The Complex Scheduler will be responsible for coordinating and managing multiple healthcare services across various departments and locations. This includes scheduling appointments, surgeries, imaging, labs, and treatments while ensuring smooth communication between patients, caregivers, providers, and staff. This role requires a strong ability to prioritize and manage competing demands while maintaining excellent customer service.
Key Responsibilities:
- Pre & Post-Appointment Support: Act as a point of contact for coordinating appointments, procedures, labs, imaging, and treatments. Ensure all necessary services are delivered accurately and on time.
- Customer Service: Communicate effectively with patients, caregivers, providers, and care teams. Resolve questions and concerns, and maintain professionalism and respect.
- Schedule Management: Prepare and manage physicians’ daily schedules, including appointments, surgeries, and procedures at various locations.
- Epic In-basket and Pool Management: Review and respond to patient messages via Epic or MyChart. Ensure messages are addressed promptly and escalate urgent matters.
- Pre-Authorization and Coordination: Ensure prior authorizations are completed when necessary and that all medical records are received and available to providers.
- Collaboration: Work with various departments, locations, and external organizations to ensure appointments and services are well-coordinated.
Skills and Qualifications:
- Required Experience:
- Two years of experience in a healthcare setting, including scheduling and registration of appointments, and providing administrative medical support.
- Proficient in utilizing medical terminology and managing appointments in Epic Health Records.
- Strong customer service, time management, and prioritization skills.
- Preferred Experience:
- Three years of experience in a healthcare setting using Epic Health Records.
- Telephonic customer service experience.
- Proficiency in Microsoft Office tools (Word, Excel, Outlook, Teams).
- Education: Healthcare or business-related degree (preferred).
