Job Description/Overview:

Artec Group is seeking an energetic and enthusiastic Administrative Assistant to join their team in Luxembourg. The role includes managing office operations, assisting with administrative tasks, and providing support to employees and management.

 

Key Responsibilities:

 

Visitor Management: Welcome and direct visitors, ensuring compliance with company guidelines.

 

Meeting Coordination: Schedule meetings, manage calendars, and organize appointments.

 

Communication: Answer and screen phone calls, take messages, and forward calls appropriately.

 

Administrative Support: Assist with corporate and administrative paperwork for employees and management.

 

Document Management: Handle physical and electronic filing of documents.

 

Mail Handling: Pick-up, sort, and distribute daily mail.

 

Office Management: Supervise office cleaning personnel and arrange maintenance works as needed.

 

Inventory Management: Order office supplies, maintain inventory.

 

Team Collaboration: Work with various teams, including management, finance, legal, and production.

 

Newcomer Assistance: Assist newcomers with administrative procedures in Luxembourg.

 

Corporate Apartment Management: Handle technical issues, track residency, and coordinate with landlords.

 

Reporting: Provide regular updates to the direct supervisor/Business Manager.

 

Qualifications:

 

Experience: At least one year in an administrative role.

 

Education: Completed secondary education (University degree is a plus).

 

Languages: Fluency in English and French (both written and spoken), German/Luxembourgish (spoken) is a plus.

 

Skills: Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and Gmail.
