Position: Parish Receptionist/Administrative Assistant

Job Description/Overview:
The Parish Secretary facilitates the work of the parish through receptionist and secretarial duties. The role includes coordinating parish events, managing communications, and providing administrative support to the pastor or business manager. A bilingual preference (English/Spanish) is noted.
Key Responsibilities:
Reception and Office Management:
Answer telephones, greet visitors, and direct inquiries appropriately.
Maintain office security and screen building entries.
Process incoming/outgoing mail and handle payments with receipts.
Schedule and manage parish events, Masses, and other activities.
Maintain records for sacraments, weddings, funerals, and other ceremonies.
Assist with parish rentals and bulk mailings.
Administrative Support:
Assist the pastor and professional staff in clerical tasks and event preparation.
Proofread, create, and publish parish bulletins.
Manage calendars and resolve scheduling conflicts.
Support volunteer-led projects and maintain parish documentation.
Communications:
Communicate parish events to the public and manage bulletin distribution.
Provide clerical assistance for special events and public relations.
Social Concerns and Miscellaneous Duties:
Handle social concerns inquiries and direct them appropriately.
Assist with scrip sales and other parish fundraising activities.
Perform other tasks as assigned by the pastor or business manager.
Knowledge, Skills & Abilities:
Knowledge:
High school diploma or equivalent required.
Preference for bilingual candidates (English/Spanish).
Familiarity with Microsoft Office Suite and general office equipment.
Skills:
Strong written and verbal communication.
Professional interpersonal and listening skills.
Detail-oriented with proficient computer skills.
Abilities:
Maintain confidentiality and professionalism.
Create a welcoming atmosphere for visitors.
Multi-task and stay organized in a fast-paced environment.
Physical Demands:
Ability to sit for extended periods, lift 20–30 pounds, and handle office equipment.
Working Conditions:
Office-based, Monday through Friday, 8:00 a.m. to 4:30 p.m.
Significant interaction with employees and visitors.
Salary Range:
$16.00 – $19.00 per hour (Employer Estimate).
