Role Overview

We are looking for a proactive and highly organized Office Manager to join our growing team. This newly created role will be critical in ensuring the smooth operation of our office and supporting our team to achieve success. You will be responsible for managing day-to-day office functions, providing PA support to our Managing Director and Principal Engineers, and supervising the Accounts Administrator. This is a fantastic opportunity for a professional who thrives in a dynamic, fast-paced environment and wants to make a real impact in a growing company.

Key Responsibilities

  • Team Supervision: Lead and support the Accounts Administrator, ensuring the accuracy and timeliness of financial tasks.
  • Personal Assistant & Secretarial Duties: Coordinate travel arrangements, book accommodation, manage calendars, take meeting minutes, prepare reports, and format documents.
  • Business Administration: Oversee office functions such as facilities management, purchasing, supplier relationships, and record-keeping.
  • Reporting: Prepare and collate board and business reports.
  • System Management: Maintain business management systems (WorkFlowMax, Approval Max ISO9001).
  • Events & Wellbeing: Organize team events, project milestones, and manage staff wellbeing initiatives.
  • Health & Safety & Quality: Support health and safety initiatives, quality reviews, and audits.
  • Staff Support: Assist with new staff inductions and office readiness.
  • Financial Administration: Utilize Xero for accounts receivable/payable, GST, and bank reconciliations.
