Job Description/Overview:
Join the University of Birmingham Dubai campus as an Administrative Assistant. This role involves providing tailored administrative and operational support, including front desk operations, event coordination, and executive assistance. The position demands flexibility, accuracy, and the ability to prioritise tasks in a dynamic environment.
Key Responsibilities:
– Front Desk Operations: Manage a busy front desk, handle customer interactions, and support business development and engagement.
– Campus Operations: Implement operational processes, manage complex enquiries, and organise events.
– Event Coordination: Arrange events, including booking venues, sending invitations, and managing logistics.
– Executive Support: Manage diaries, plan meetings, handle complex travel arrangements, and support senior leadership.
– Governance: Prepare meeting papers, take minutes, and maintain confidential records.
– People and Culture: Support recruitment processes, induction of new staff, and manage staff records.
Qualifications:
– Educated to degree level or significant practical work experience.
– Experience in a busy front desk environment with excellent customer service skills.
– Proficiency in IT, including complex diary management and MS Office.
– Experience with Senior Executives and large event coordination.
– Excellent interpersonal and communication skills.
– Ability to understand and apply policy and procedures.
Experience:
Experience in higher education or working with senior management is advantageous.
Skills:
Proficiency in MS Office, event coordination, customer service, diary management, confidentiality.
