Job Description/Overview:
They are looking for a friendly and responsible member of staff to support the Luxembourg reception team, both at reception and as an assistant.
Key Responsibilities
Reception activities:
- You will answer and forward telephone and take messages;
- You will prepare meeting rooms, as well as organise the equipment and schedule;
- You will carry out various tasks: Booking taxis and restaurants, managing the customer car park, processing documents, distributing incoming mail, preparing outgoing mail, registered mail, special deliveries, DHL, UPS, inventory management (printers, paper, pens, brochures, drinks, etc.);
- You will also assist in the preparation of GSK events.
Administrative activities:
- You will manage emails, set up conference calls, organise conference calls and calendars, update databases and Outlook contacts, copy, print, scan, fax, etc…;
- Write, edit and finalise correspondence;
- You will assist with administrative tasks and office furnishing matters on request.
Qualifications needed
- You have relevant professional experience at the reception desk and on the switchboard at a law firm or in the service department of a hotel or other service company
- You have very good command of English and German
- You are proficient in the use of common MS Office applications
- You are keen to work independently and responsibly
- You are experienced in dealing with unforeseen situations
