Job Description/Overview:

This vacancy notice is for First Assistant Secretary (Affirmative Measures Disability) – Multiple Vacancies. Key Responsibilities

Administrative Support: Provide general administrative support to the secretary and other senior staff, including managing schedules, organizing meetings, and handling correspondence.

Document Preparation: Draft, format, and proofread letters, reports, and other documents. Prepare presentations and meeting materials as needed.

Meeting Coordination: Schedule, organize, and coordinate meetings, conferences, and events, including preparing agendas, taking minutes, and ensuring follow-up on action items.

Correspondence Management: Manage incoming and outgoing correspondence, including emails, phone calls, and mail. Prioritize and route communications appropriately.

Travel Arrangements: Arrange travel plans, including booking flights, accommodations, and transportation, and preparing itineraries for staff members.

Record Keeping: Maintain and organize filing systems, both digital and physical, ensuring that all documents are properly stored and easily accessible.

Office Management: Oversee office supplies and equipment, ensuring that everything is stocked and functioning properly. Manage relationships with vendors and service providers.

Financial Administration: Assist with basic financial tasks, such as processing invoices, managing expense reports, and preparing budget reports.

Client and Visitor Liaison: Greet visitors and clients, manage front-desk operations, and provide assistance as needed. Ensure a welcoming and professional environment.

Confidentiality Maintenance: Handle sensitive and confidential information with discretion, ensuring that all communications and documents are managed securely.
