About the Role
Position: International Documentation Assistant
The Scoular Company, a leader in innovative supply chain solutions for over 130 years, is seeking an International Documentation Assistant to join our team. In this role, you will ensure timely and accurate preparation of documents required for global cargo shipments, helping customers successfully import cargo while enabling Scoular to meet contract terms.
Key Responsibilities
- Documentation Management: Review and verify sales contracts, shipping instructions, and Letters of Credit. Obtain and assemble third-party documentation, including Phytosanitary and Quality Certificates, and Ocean Bills of Lading.
- Process Coordination: Collect, produce, and present shipping documents to customers or banks before specified deadlines.
- Stakeholder Communication: Maintain clear and timely communication with internal teams, suppliers, customers, and banks to ensure smooth operations.
- Issue Resolution: Address and resolve documentation challenges to meet shipment requirements.
- Progress Reporting: Keep management and transaction parties updated on document acquisition progress.
- Customer Support: Respond to inquiries and provide updates on assigned shipments.
About You
- Ability to thrive in a fast-paced environment with exceptional attention to detail.
- Strong organizational skills with the ability to prioritize tasks and manage multiple deadlines.
- Proactive problem-solving skills and a self-motivated work ethic.
- Excellent communication skills, including the ability to provide concise instructions to international stakeholders.
- Proficient in MS Office, including Word and Excel.
- Ability to occasionally work overtime as needed.
