Job Description/Overview:
The Administrative Assistant will manage various administrative tasks including organising meetings, handling correspondence, and maintaining office procedures. The role involves working in a fast-paced environment with multiple responsibilities.
Key Responsibilities:
– Arrange and coordinate seminars, conferences, etc.
– Open and distribute mail and other materials
– Record and prepare minutes of meetings, seminars, and conferences
– Establish office procedures and routines
– Schedule and confirm appointments
– Answer and relay telephone calls and messages
– Handle electronic inquiries
– Order office supplies and maintain inventory
– Oversee payroll administration
– Greet visitors and direct them to contacts or service areas
– Set up and maintain information filing systems
– Type and proofread correspondence, forms, and documents
– Perform data entry and basic bookkeeping tasks
Qualifications:
– Secondary (high) school graduation certificate
Experience:
– 1 to less than 7 months
Skills:
– Proficiency in MS Windows, MS Word, and MS Office
– Ability to multitask and manage time effectively
– Excellent oral and written communication
– Strong organisational skills
