Job Description/Overview:
The European Central Bank (ECB) is seeking an Office Administrator to support the Office of the Chief Services Officer (CSO). The position involves managing the CSO’s schedule, coordinating high-level meetings and conferences, and overseeing related administrative processes. The successful candidate will play a critical role in driving innovation and transformation within the organisation while interacting with multiple stakeholders across the ECB and external partners.
Key Responsibilities:
Manage the CSO’s schedule, meetings, and business trips.
Assist in the preparation of high-level meetings and conferences.
Monitor document submissions for decision-making processes and follow up on pending approvals.
Support the onboarding and training of new team members.
Organise ECB-wide initiatives such as town halls, leadership events, and strategic off-sites.
Assist in procurement, contract management, and budgeting tasks.
Collaborate with assistants across the CSO business areas to ensure effective communication and workflows.
Qualifications:
Vocational training or a university degree in a relevant field (e.g., business administration, human resources, finance, law, etc.).
Minimum of 5 years of experience in management support or business process support.
Experience providing administrative support to senior executives.
Experience:
Strong background in administrative management, scheduling, and document tracking.
Experience with procurement, contract management, and budgeting.
Proficiency in office tools and software for planning, budgeting, and travel management.
Fluency in English (C1 level) and working knowledge of another EU language (B1 level).
Skills:
Excellent organisational and communication skills.
Strong interpersonal skills with the ability to build relationships across the organisation.
Ability to work independently and manage confidential information.
Proactive approach to problem-solving and supporting team goals.

Additional Information:
