Job Description/Overview:

 

Omni Facilities Management, a leading provider of outsourced services to over 150 hotels across the UK, Netherlands, and South Africa, is looking for an enthusiastic and self-motivated Office Coordinator. Established in 1980, Omni provides housekeeping, recruitment, property, and software services to major hotel groups, including IHG, Hilton, Marriott, Ritz-Carlton, and more. This position requires someone capable of ensuring that all team members are trained to departmental standards.

 

Key Responsibilities:

 

– Provide administrative support for the Housekeeping Department, managing the PMS, and handling telephone and radio communications.

– Serve as the primary administrative contact and liaison with other departments.

– Update and maintain departmental records, databases, files, and documents.

– Prepare daily checklists, reports, and other documents.

– Manage keys and radios, ensuring they are properly signed out and working.

– Note guest requests (including VIP allocations) and ensure they are communicated and actioned by relevant staff.

– Log and report maintenance issues.

– Monitor the status of departure rooms and ensure they are returned promptly.

– Document handover tasks in the Handover Book for the next shift.

– Perform other reasonable tasks as required.

 

Qualifications:

– Previous experience as a Supervisor or Office Coordinator in a busy hotel housekeeping environment (preferred).

– Administrative experience and proficiency in managing office tasks.

 

 Experience:

– Strong interpersonal and communication skills.

– Proficiency in Microsoft Office (Word, Excel, Outlook).

– Knowledge of office management principles and procedures.

– Previous experience in a fast-paced environment, managing data entry and word processing tasks.

 

Skills:

– Excellent written and verbal communication skills.

– Ability to work under pressure and meet deadlines.

– Strong organizational skills.

– Flexible and willing to learn.

 Shift Pattern:

– Up to 37.5 hours per week, Monday to Sunday (24/7 operation).
