Job Description/Overview: 

The Office Administrative Assistant will perform various administrative tasks including recording minutes, establishing office procedures, scheduling appointments, handling phone calls and emails, and maintaining filing systems. The role involves both manual and computerised data management and supporting the office’s daily functions.

 

Key Responsibilities:

– Record and prepare minutes of meetings, seminars, and conferences

– Determine and establish office procedures and routines

– Schedule and confirm appointments

– Answer telephone calls and relay messages

– Respond to electronic inquiries

– Order office supplies and maintain inventory

– Greet people and direct them to appropriate contacts or service areas

– Set up and maintain manual and computerised filing systems

– Type and proofread correspondence, forms, and other documents

 

Qualifications: 

College, CEGEP, or non-university certificate or diploma from a program of 1 to 2 years

 

Experience: 

Will train

 

Skills:

– Strong organisational skills

– Effective communication

– Proficiency in office software

– Attention to detail
