NeithWork, a recruitment firm, serves the largest legal actors.

 

Our client, an international law firm based in Luxembourg with a presence in nearly forty countries, is looking for a receptionist to join a team dedicated to the firm.

 

Key Responsibilities

  • Welcoming clients, partners, and visitors in person and over the phone
  • Managing the schedule and upcoming events, considering appointments, meetings, and future commitments
  • Offering refreshments to visitors according to their preferences and specific needs
  • Providing comprehensive administrative support to lawyers and staff, including document preparation, file management, and daily activity coordination to ensure operational efficiency
  • Proactively managing office supplies, equipment maintenance, and workspace organization to maintain a professional and functional environment
  • Efficiently sorting and managing incoming communications, including phone calls, emails, and postal mail, prioritizing and handling them confidentially
  • Coordinating travel logistics for lawyers and clients, including booking tickets, accommodation, and transportation, ensuring precise and seamless planning
  • Proactively managing the schedules of lawyers and staff, coordinating appointments, meetings, and professional obligations to optimize their time and productivity

 

Qualifications needed

  • Experience in an international environment, particularly in sectors such as hospitality, banking, or luxury services
  • Fluent in French and English. German and Luxembourgish are real assets
  • Good command of computer tools and meeting room management software, and capable of effectively using technology to support daily operations
  • A sense of discretion, autonomy, and professionalism, along with exceptional organizational ability to efficiently manage multiple tasks and changing priorities
  • Interpersonal skills, with the ability to interact with a wide range of people and establish positive and lasting professional relationships
